1. Scope and legal basis
This Privacy Policy explains how Intellixa Inc., operating under the brand name Projectzo ("Projectzo," "we," "us," "our"), collects, uses, stores, and protects personal and business information when you use the website at projectzo.com (the "Website") or engage our services.
This policy is published in accordance with the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. It is an electronic record and does not require a physical or digital signature.
By using the Website or our services, you confirm that you have read and understood this policy and consent to the practices described in it. If you do not agree with this policy, please do not use the Website or our services.
2. Who is responsible for your data
Projectzo is the data controller responsible for the personal data processed through this Website and in the course of our engagements. Our registered office and contact details are set out in Section 12.
3. Data we collect
We collect only the data we need to operate the Website, respond to enquiries, and deliver engagements. This includes:
3.1 Information you provide
- Contact and enquiry information — your name, organisation, email address, phone number, and the content of any message you send us through the Website, by email, or by phone.
- Engagement information — the business, financial, and project information you share with us so that we can carry out an assignment.
3.2 Information collected automatically
- Usage data — your IP address, approximate location, browser type, device information, pages viewed, and how you navigate the Website. This is collected through analytics tools to help us understand and improve the Website.
We do not knowingly collect sensitive personal data beyond what is necessary for a specific engagement, and we do not sell your data to anyone.
4. How we use your data
We use the data we collect to:
- Respond to your enquiries and communicate with you about a potential or active engagement;
- Carry out, manage, and deliver engagements you have retained us for;
- Issue invoices and maintain proper records of transactions;
- Operate, secure, and improve the Website;
- Comply with our legal, regulatory, and record-keeping obligations.
We rely on your consent, the performance of a contract with you, and our legitimate interest in running our business as the legal bases for this processing.
5. Your business data
Confidentiality of client business information is central to how we work.
- We never show, sell, or display a client's project reports or business information to any person or third party, including other clients, without the client's explicit written consent, except where disclosure is required by law.
- Within our organisation, business data is shared only with the Projectzo personnel who need it to deliver the assignment, each of whom is bound by confidentiality obligations.
- We destroy confidential client data from our systems on written request from the client, or by the 366th day following final delivery of the assignment, whichever comes first.
8. Data retention
We keep personal and business data only for as long as necessary for the purposes described in this policy, or for as long as required to meet a legal or regulatory obligation. Confidential client business data is retained no longer than the period described in Section 5, unless a longer period is required by law.
9. Data security
We apply reasonable security practices and procedures to protect data against unauthorised access, alteration, disclosure, or destruction. These include access controls, password protection, firewalled and restricted-access servers, and internal reviews of our data-handling practices.
No system connected to the internet can be guaranteed to be completely secure. While we take data protection seriously, we cannot guarantee that data transmitted over the internet is entirely free from risk of interception.
10. Your rights
Subject to applicable law, you have the right to:
- Ask what personal data we hold about you and request a copy of it;
- Ask us to correct inaccurate or incomplete data;
- Ask us to delete your personal data where it is no longer needed and no legal obligation requires us to keep it;
- Withdraw a consent you previously gave, without affecting processing already carried out;
- Object to certain processing, including direct marketing.
To exercise any of these rights, contact our Grievance Officer using the details in Section 12. We will respond within the timeframe required by applicable law.
11. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. The date at the top of this page shows when it was last revised. Any use of any information we hold will remain consistent with the policy under which it was collected.
